Either can work if the promise is clear and deliverable. A fixed quantity makes the included allowance easier to price; explain how extra drinks are approved and paid for. Unlimited service needs an agreed guest group, menu, service window, and honest capacity expectations. Do not advertise unlimited drinks while hiding a cap. Price the likely use and a reasonable contingency, and have the booking terms reviewed for your business.
A calendar you can access on your phone may be enough to start. Keep inquiry, held, and confirmed dates visibly different, and include preparation, travel, and cleanup time. Store the current quote, accepted terms, payment status, and service details together. If you add booking software, test its calendar and payment connections before relying on them. Choose the tool around your process; an available time slot alone does not confirm you can deliver the job.
Take the concern seriously before committing your calendar. Clarify expectations, communication, fees, setup standards, and how either side can end the arrangement. A short trial can test the working relationship if the terms and economics are acceptable. You can also decline politely. Do not sign a long commitment just to secure dates, and do not assume replacement work is guaranteed. Have any proposed agreement reviewed before accepting obligations you may struggle to meet.
